Job Description


We are looking for a digital-savvy Office Administrator to join our team. The ideal candidate will contribute to the smooth operation of our office. As an integral part of our team, you will be responsible for managing office files, coordinating with vendors, receivables and payables, assisting in budgeting tasks, and providing general administrative support. If you are organized, detail-oriented, and have excellent communication skills, we would love to hear from you! Description of Duties:


Manage and maintain office files, including organizing, labeling, and archiving documents.


Coordinate with vendors for office supplies, equipment maintenance, and repairs.


Assist in budgeting and financial management tasks, such as tracking expenses and preparing reports.


Answer phone calls, respond to emails, and handle correspondence.


Schedule appointments and meetings, and maintain calendars for staff members.


Coordinate travel arrangements and accommodations for employees.


Assist in preparing presentations and reports for meetings.


Support HR functions, such as maintaining employee records and assisting with onboarding processes.


Provide general administrative support to the office team.



Skills and Requirements:


Proven experience as an office administrator or in a similar administrative role.


Proficient in using office software applications (e.g., Microsoft Office Suite).


Excellent organizational and time management skills.


Strong attention to detail and accuracy.


Effective communication skills, both written and verbal.


Ability to multitask and prioritize tasks effectively.


Proficient in using Quickbooks.


Knowledge of budgeting principles is a plus.

Job Description


This role is essential in maintaining accurate financial records, overseeing job costing, and ensuring compliance with industry-specific accounting standards. The ideal candidate will have experience in bookkeeping and will work closely with leadership to provide financial insights that support efficient project execution and overall business success.



Description of Duties:


Maintain and reconcile general ledger accounts, ensuring accuracy in financial reporting

Handle Accounts Payable and Accounts Receivable, including processing invoices, payments, and collections

Prepare and process progress billings and holdbacks, in accordance with contract terms

Conduct job costing, tracking expenses by project and ensuring cost allocations align with budgets weekly, monthly, and end of job.

Prepare weekly, monthly, and yearly financial reports, including balance sheets, income statements, and cash flow reports

Reconcile Bank accounts and credit cards

Ensure compliance with tax regulations, preparing and filing HST/GST, payroll remittances, and other statutory reports.

Maintain records and assist in audits or financial reviews as needed.

Maintain financial records and document retention in accordance with company policies.

Perform other related duties as assigned by the CFO

Provide support in special projects and financial analysis as needed


Skills and Requirements:


5+ years of bookkeeping experience, preferably in the construction industry.

Strong knowledge of construction accounting principles, including job costing and progress billing

Proficiency in QuickBooks

Familiarity with provincial/federal tax regulations, WSIB, and compliance requirements

Strong attention to detail and ability to meet deadlines in a fast-paced environment

Excellent communication and organizational skills

Equinox Development Inc, is an award-winning, innovative, and growing company that is looking for a talented, motivated, and creative Residential Architect with a passion for construction and customer service, to work with their company.  Work hours are flexible with a combination of working from home and office depending on the project and will have a heavy emphasis on building permit design.


Description of Duties:


Prepare, review, and manage municipal building permits.

Develop databases and schedules to track permit timelines and actions.

Manage permit conditions and commitments for compliance tracking and reporting.

Preparate and/or review technical correspondence, project proposals, technical reports, work plans, and project specifications including cost estimates and budgets.

Advise internal Senior Designers on permitting issues.

Provide advice and strategies to clients for obtaining municipal permits, licenses, and approvals.

Communicate effectively and work with regulators and other stakeholders with or on behalf of Equinox Development Inc, to further project delivery and success.

Help in the development of architectural designs.

Analyze building codes, bylaws, space requirements, site requirements and other technical documents and reports.

Prepare manual and CAD (computer-assisted design) drawings, specifications, cost estimates and listings of quantities of material from conceptual drawings and instructions.

Build architectural, display, and 3-D virtual models of architectural designs.

Provide detailed zoning reviews and feasibility studies where required.

Skills and Requirements:


Proficiency in REVIT, Auto CAD, Adobe Creative Suite or Adobe Creative Cloud.

Experience with Chief Architect and Sketch-up is an asset

Minimum of 5 years of experience with AutoCAD

Diploma or bachelor’s in architecture or Building Sciences

Ability to read, understand and translate technical drawings

Ability to create millwork drawings

Able to work under pressure and handle multiple projects and a variety of tasks

Working knowledge of Vancouver area, residential construction

Minimum of 5+ years of experience in the production of construction drawings for residential projects

Successful at permit submission within the greater Vancouver area and surrounding cities

Good knowledge of compliant wall assemblies

Ability to read, understand and translate technical drawings

Ability to create millwork drawings

Able to work under pressure and handle multiple projects and a variety of tasks

Working knowledge of the GTA area, residential construction

Experience with VBBL compliance

Understanding F.R.R and STC ratings

Ability to prepare and assemble complete construction documents for permit application and tender

Strong technical knowledge of building systems, construction methods and materials with an emphasis on Single-Family Residential

Understanding of ON Building Code and building envelope concepts

Proficiency in developing project models and construction documents for single-family residential dwellings

Proficiency in manipulating CAD data for import into Revit models

Relevant understanding of current City bylaws and ON Building codes

Able to work under pressure, meet deadlines, and handle multiple projects

Excellent written and spoken English skills

Organized and able to work well independently

Legally entitled to work in Canada

The responsibilities of this role include assisting clients with the material selection process, managing schedules and budgets, analysis of specifications for material and fixture selections, understanding working drawings, resolving selection issues, communicating with clients, coordinating with suppliers and inspecting progress and quality of work. There may be some travel to job sites involved.


Skills and Requirements:


Diploma in Interior Design is an asset
